Koehler Fitzgerald LLC Ensures HIPAA-Level Security with Legal Workspace

Koehler Fitzgerald LLC, one of Northeast Ohio’s most experienced and respected business and commercial litigation law firms, specializes in business law and litigation, probate and security regulation and litigation. Founded in 2011, the firm is consistently recognized in the U.S. News Best Lawyers – Best Law Firm rankings and has achieved the highest-possible rating from Martindale-Hubbell for legal ability and ethical standards. However, due to its high volume of growth, the firm faced the challenge of outstripping its processes and technology. The firm acquired an insurance and defense client in June of 2015. While the new client led to 70 more health care cases in a short amount of time (with the number steadily increasing each month), it also highlighted the inefficiencies of the law firm’s information storage capabilities. "Legal Workspace offered hosting that complied with HIPAA-level regulations. If we had had to provide our own technology to comply with HIPAA, it would have been difficult and costly. But we could basically flip a switch with Legal Workspace to add that level of protection."

Jennifer Mussig, Koehler Fitzgerald

"Prior to Legal Workspace, I was using Dropbox and it wasn’t meeting my needs. I needed a solution where I could create client and matter accounts and have it all be as seamless as possible with my calendar and Outlook. Legal Workspace met this need and more. The support team is friendly, proactive and responsive."

Ara A. Babaian, Encore Law Group

“I highly recommend Legal Workspace for the primary reason that it helps me sleep at night and focus on my cases. Being a small firm owner, it is easy to spend crucial time, money, and emotions on technological issues. Not us! Our technology system is organized, streamlined, accountable, and secure. We have the ability to have multiple users log into our system no matter where they are and I am never worried that I am going to lose data, calendar or contact information or files. I simply cannot imagine my practice without Legal Workspace.”

Doctor Law Group Embraces Cloud and Launches IT in Record Time with Legal Workspace

When Randall Doctor founded his own law firm, the last thing he wanted to worry about was IT. “Prior to 2013, I worked at a law firm with 50+ attorneys and five full-time IT employees. I never had to deal with IT issues,” explains Doctor. “However, my firm now is purposefully a smaller organization with two attorneys. We outsourced our IT to the Legal Workspace cloud so my partner and I can focus on practicing law and we don’t have to become IT experts.” Launched in January 2013 and based in San Francisco, the Doctor Law Group specializes in insurance regulatory law. The firm’s clients include a wide range of insurers as well as companies such as insurance brokers, re-insurers, motor clubs and third-party administrators, as well as non-insurer companies that use technology and rub against insurance laws such as Lyft, Intuit and Google. While the law firm gave the attorneys the ability to focus on client-facing legal services, its smaller structure meant that there was no longer in-house IT expertise. That meant that Doctor had to find a way to set up the law firm’s entire IT infrastructure on his own or find someone who could help. He began to explore options, knowing that he wanted the systems up and running within a month. To read the full case study click here.

"Legal Workspace is accessible whether I’m working in my office, at home or in a hotel room. I don’t need to get involved in figuring out how to do anything or become an IT expert. I hired Legal Workspace and they set everything up for me."

Randall Doctor, Doctor Law Group LLP

"Creating and maintaining a network structure for a two-partner law firm was expensive, cumbersome and required constant attention. Legal Workspace gave us a more efficient and less costly alternative for IT.  It works perfectly for our law office."

Lane Odom, Partner, Berry Odom LLP

"Legal Workspace provides my firm with the same level of support as an in-house IT department at an AmLaw 100 firm. With Legal Workspace’s cloud-based environment, we’re relieved of handling day-to-day IT administration."

Innovation Leads to Efficiency

The firm has praised the cloud-based infrastructure for its easy access to documents, billing records and other content maintained by the firm.

“My practice can take me across town and across the country. I need my law office to be wherever I am, and the convenience of having everything I need for court on my laptop stands in contrast to opposing counsel dragging in boxes of files. Legal Workspace gives me a competitive advantage and the support to keep it all running smoothly.”

Take Comfort in the Cloud

A natural disaster can mean a business disaster if you’re not prepared. In late January of 2014, residents of Birmingham and much of Alabama were faced with the effects and aftermath of a snow and ice storm that surprised many – including weather forecasters – with its rapid approach and intensity. It was the worst such storm the region had experienced in more than 20 years, and most businesses had to shut down for as long as three days as order was restored. But for the three attorneys and the administrative staff of Marks & Associates, access to the firm’s operational and client information through Legal Workspace kept the firm running smoothly.

“Legal Workspace was essential in allowing us to work through the worst of the storm, even when we couldn’t leave our homes. Our conventional servers and back-ups would never have allowed us to operate as we did and continue meeting the needs of our clients across the country.”

Denise Torossian, COO, Marks & Associates
